Terms and Conditions
The terms and conditions below are set forth by Ace Language Services (ALS), in accordance with language services offered: translation, interpreting, localisation, conference liaison, editing, proof reading and desktop publishing.
1. Quality Control & Assurance
Due to the nature of translation and interpreting work it is impossible to guarantee that such work is 100% error free. We recommend that for important documents and meetings additional translators or interpreters are used to reduce the chance of errors. ALS is able to offer three proof-reading services to reduce the risk of spelling and grammar mistakes.
Although occasional problems do occur, clients can rest assured that stringent quality procedures are in place:
Qualifications and references of all interpreters and translators are checked before the commencement of any assignment
Clients are requested to complete the “Interpreter payment claim form” after every assignment. This allows clients to comment on the service quality provided by the interpreter. All written and verbal comments received by ALS, concerning translators or interpreters, will be dealt with in the strictest of confidence, quickly, courteously and sympathetically.
Clients must agree not to make any separate arrangements with ALS translators and interpreters during assignments and for a period of one year afterwards; all negotiations with ALS interpreters and translators must be made through ALS. ALS may give full contact details of their linguists and other staff to clients to facilitate communications during assignments, but this is on the understanding that they will only use this information for the purposes of ALS business, and that they will not share this information with third parties.
We require written confirmation of standard and emergency bookings. Estimates of standard and emergency bookings will be sent on request. In order to ensure availability and maximum suitability of interpreters for a particular assignment, it is preferable for us to have as much notice as possible. We can usually provide an interpreter for emergency bookings, almost until the last minute. However, if we are unable to do so, we will inform you within two hours after the time of booking.

A standard booking is one which the customer gives at least 3 working days notice to ALS.
ALS will apply a standard rate for interpreting which will be 1 hour minimum.

An emergency booking is one which the customer gives less than 2 working days notice to ALS.
ALS will apply a emergency rate for interpreting which will be 1 hour minimum.

220.127.116.11 Other expenses
Travelling time is billed per quarter of an hour.
The travelling time is calculated from the interpreters’ residence to the assignment venue and back
Mileage is only applicable, if the interpreter uses his/her own transportation. An outward and a return journey is calculated from interpreters residence to the assignment venue by online road direction services to ensure accuracy of mileage charges.
Travelling expenses include public transport fees, car parking fees, etc.
All receipts will be attached to the clients final invoice. In certain cases, the use of taxis may be essential, due to time constraints and public transport coverage.
ALS shall not charge for cancellations, provided at least 2 working days prior notice has been given.
If ALS is given less than 24 hours notice, then the client will be charged an hour of interpretation time. If the interpreter has incurred any travelling expenses, these will be added to the clients final invoice.
Albanian, Amharic, Arabic, Armenian, Belarusian, Bengali, Bulgarian, Cantonese, Catalan, Croatian, Czech, Danish, Dutch, Estonian, Farsi, Finnish, Flemish, French, Gaelic, German, Greek, Gujarati, Hebrew, Hindi, Hungarian, Icelandic, Indonesian, Italian, Japanese, Korean, Laotian, Latvian, Lithuanian, Macedonian, Malay, Mandarin, Norwegian, Polish, Portuguese, Punjabi, Romanian, Russian, Serbian, Slovak, Slovene, Spanish, Swahili, Swedish, Tamil, Thai, Turkish, Ukrainian, Urdu, Vietnamese, Welsh.

3.2 Translations and Proof Reading
Once ALS has received a work order for a translation or proof reading, together with the material to be translated or proof read, ALS will provide a quote. This quote will also act as proof of receipt of the material. Once ALS has received confirmation for the quote, we shall commence work.
Word count will be based on source text.
All documents received are treated with utmost confidentiality.
We can return the completed work by post, e-mail or fax; this is registered post by default.
ALS shall not be held responsible for late delivery due to any external transport(i.e. delivery companies or couriers) or communications problems(i.e. fax or email). Please note that the material must be received at the ALS office and picked up at the ALS office, unless otherwise agreed.
3.2.1 Language Groups
Languages are divided into group A (French, German, Italian, Spanish, Welsh) and group B (all other languages).

A standard request is one in which the material is received by our office at least 7 days prior to the deadline. ALS require written confirmation of standard requests and estimates of standard requests will be sent by default. In order to ensure availability and maximum suitability of translator(s) for a particular assignment, it is preferable for us to have as much notice as possible. Our standard rates apply.

An express request is one which the the material is received by our office less than 7 days prior to the deadline. We can usually confirm whether the request is possible within 2 hours for this type of booking. ALS require written confirmation of express requests and estimates of express requests will be sent by default. ALS are not responsible for late delivery due to any external transport or communications problems. An express booking surcharge applies on our standard rates.

An emergency request is one which the the material is received by our office less than 24 hours prior to the deadline. We can usually confirm whether the request is possible within 1 hour for this type of booking. ALS require written confirmation of emergency requests and estimates of emergency requests will be sent by default. An emergency booking surcharge applies on our standard rates.
3.2.3 Proof Reading
The charge for proof reading is dependant upon both the length of text, subject matter and the output format. Our standard rate for proof reading will depend on the subject matter. Medical, legal, technical matter, etc. will incur a slightly higher rate. The client is expected to allow at least 5 working days for the work to be completed depending on the size of the material.
Once a quote is accepted by client, the price shall be payable in full.
3.3 Other Services
ALS also offer desktop publishing, software localisation, conference liaison and web design. For prices and information, please arrange to see an ALS representative.
4. Refunds and Cancellations
If ALS is unable to supply any goods or services that have been paid for, we will guarantee to give a full refund within 14 days of cancellation. If ALS is obliged to cancel an order that has been partly completed, the refund will be on a pro rata basis. ALS may be forced to make a cancellation due to illness, accident or any other reason, such as natural disaster. Every effort will be made to meet deadlines, and find replacement linguists when necessary, but if it becomes absolutely necessary to cancel, ALS’s liability is limited to refunding the goods or services that have not been delivered on a pro rata basis, less the cost of any materials supplied and administration or registration fees.
As ALS services are all tailor-made, the advice, translations, interpretations, etc cannot be resold. It is for this reason that ALS is unable to make any refunds once a quotation has been accepted. However, when a client rearranges the date of a specific ALS service more than 7 days prior to the agreed date of delivery, then no extra charge will be made. Late cancellations, delays or rearrangements of ALS services by clients will inevitably incur extra charges. Clients will be charged for all orders in full, unless 2 working days of cancellation notice is given in writing, unless otherwise stated.
5 Payment and late charges
Our normal payment term for an invoice is 30 days after its issue date.
If an invoice is settled within 7 days, the client will receive 5% discount, in the form of a Credit note
If an invoice is not settled within 30 days, ALS reserves the right to withdraw its services until the balance is settled.
If the invoice amount is under £200, ALS shall add £1 penalty on the invoice amount due every day.
If the invoice amount is between £200 and £1999, ALS shall add £5 penalty on the invoice amount due every day.
If the invoice amount is over £2000, ALS shall add £10 penalty on the invoice amount due every day.
All translations and other materials are property of ALS until full payment has been received for completed work.
If after a further sixty days ALS has not received the payment in full, including all penalty charges, then we reserve the right to seek legal advice.
As all services are individually prepared, full payment must be received 30 days after an invoice is issued. Large contracts, which are executed over a long period, may be broken down into stages and paid in instalments, normally monthly. Special arrangements may be made with established customers who have their own accounts.

(d) the quality of any service, information, or any other material purchased or obtained by customers through the website will meet your expectations.
ALS reserves the right to omit, suspend, or change the position of any advertisement at any time, even if it has already been accepted for publication. If an account is overdue, ALS reserves the right to suspend an insertion. Any changes in advertisements by advertisers may incur additional expense.
ALS will keep all records of customers, translators, interpreters and staff carefully, and treat them as strictly confidential. No information will be passed on to third parties without prior consent. All ALS translators are required to sign a confidentiality agreement. If requested by our clients we are able to sign confidentiality agreements which relate specifically to work at hand.
All complaints should be first addressed to the person at the point of contact e.g. the translator, interpreter. If the dispute or problem cannot be resolved between the parties concerned, then a letter of complaint or e-mail should be addressed to the Managing Director, ALS giving full details. All such complaints will be dealt with quickly, courteously and sympathetically. If it becomes clear that the specification in a quotation has not been delivered e.g. an interpreter arrived late for a meeting or an ALS employee did not assess the interpreter fully, then ALS will not invoice the client. Since all interpreters work on a freelance basis, ALS cannot accept any liability or offer any compensation as a result of their actions.
9. Proprietary Rights
Except as expressly authorised by ALS, customers agree not to modify, rent, lease, loan, sell, distribute or create derivative works based on services rendered in whole or in part.
We request that users who find inappropriate content via our website should contact us immediately at firstname.lastname@example.org in order that we may remove the links. Nothing in these conditions shall affect the statutory rights of any consumer.
If you find these conditions unacceptable, we request that you leave the website and do not use the services of ALS. If you do chose to use the ALS website, and enter into agreements with ALS, the above terms and conditions are generally applicable, and English law will apply.
11. Right to refuse work
ALS shall not be required to translate any matter which in its opinion is, or maybe of an offensive, pornographic, defamatory, undocumented, illegal or libelous nature. Where copyright exists in texts to be translated by ALS, the client warrants that it has obtained all consents necessary for such translation to be made. In addition, we reserve the right to refuse all materials and orders that we consider may be in any way contrary to accepted morality and behaviour.
