TERMS & CONDITIONS OF SERVICE
1. INTRODUCTIONS
1.1 Sturry Pre School Group, hereafter referred to as “ASC”, working in partnership with OFSTED early years aim to provide parents with affordable, quality childcare in a safe, caring, stimulation and creative environment for children in our care.
1.2. All parents/guardians wishing to make use of the services offered by “ASC” must strictly adhere to the Terms & Conditions and sign this agreement to the Terms & Conditions under which “ASC” will operate. “ASC aim to develop an interactive partnership with all users and schools and would welcome suggestions and discussions on ways to improve the services we offer.
2. REGISTRATION FORM
2.1 A registration form which lists the child/ren’s details and outline the childcare arrangements must be completed and signed by a parent/guardian. Listed, must be the names of responsible parties with access to the child/ren. Also listed, must be the names, addresses and telephone numbers of two emergency contacts who may be called upon in case of an emergency when parents cannot be contacted and they too must be responsible individuals.
3. AFTER-SCHOOL SERVICE
3.1. Children will be collected from school by our staff and brought to the ‘club’ and provided with a light snack and in an appropriate environment, have the choice to take part in free play, encouraged to complete any school homework (if required by parent/guardian). They will also have the opportunity to take part in a variety of supervised group activities; such as story telling, arts & crafts, cooking, role play, constructive play with toys and sports.
4. COLLECTION
4.1. Children must be collected no later than 5.30pm.
4.2. Parents/Guardians should inform the school that “ASC” staff will be collecting their child/ren.
4.3. Notification of children who are not to be collected from school, must be received at least one hour before the close of school. Failure to notify in accordance with this clause will result in an additional charge of £5.00 for each 15 minutes on each occasion to cover time spent trying to locate the child/ren. Should this occur on more than three (3) occasions may result in the loss of the child/ren’s place.
4.4. ASC must be kept up-dated with changes relating to access to children or collection arrangements. We will not allow access or collection of children unless written confirmation has been received.
4.5. Other than parents/guardians, only those listed in accordance with clause 2 above may collect children from the club. If other parties are asked to collect children, then prior written authority must have been provided before the time of collection.
4.6. In the event Children are not collected from the ‘club’ staff will endeavour to get in touch with the emergency contacts given. Failure to locate one of these contacts will result in “ASC” contacting the Duty Social Worker and may result in the loss of the child/ren’s place.
5. ATTENDANCE
5.1. Children are expected to attend during the days and times agreed. Should a child become ill or go on holiday, “ASC” must be notified.
6. EMERGENCY CONTACTS & ACCESS
6.1 Parents/Guardians must ensure that emergency contacts and persons with access in accordance with clause 2 above, are familiar with necessary procedures in case of emergency and parents/guardians cannot be contacted, “ASC” will get in touch with an emergency contact named. They will then take on the responsibility for the child/ren. Persons with access may also collect children in accordance with clause 5.4 above. “ASC” must be notified immediately of any change of details to; emergency contacts and their telephone numbers.
7. FEES
7.1. Fees are payable in advance, if no payment has been received, the child will not be collected from school.
7.2. “ASC” reserve the right to increase fees, however, it is unlikely that fees will increase more than once annually.
8. PENALTY CHARGES
8.1. The After-School club closes promptly at 5.30pm. Therefore additional charges will be incurred for late collections, e.g. 15 minutes £5.00, late collection on more than two occasions may result in the place being withdrawn.
9. MEDICAL HEALTH
9.1. “ASC” will not admit children suffering with any infectious disease or virus. “ASC” reserve the right not to administer medicine however, a request to administer medication will be considered on an individual basis. Children who have been suffering with an infectious disease or virus will not be re-admitted unless a doctor’s letter is presented stating that the child has made a full recovery.
9.2. Parents/Guardians must sign section 4 of the registration form to give authority in the event of emergency hospital treatment becoming necessary. Staff shall administer minor First Aid treatment as and when necessary.
10. COMPLAINT PROCEDURE
10.1 It is hoped that parents/guardians will not have to complain about any aspect of the service we provide however, should the need arise; there are three stages at which complaints can be considered.
Stage 1 - The Informal Resolution
Discuss your complaint with the relevant staff member however, if you are still dissatisfied you may discuss the matter with the Manager. It is hoped that the matter may be resolved to all parties’ satisfaction at this stage.
Stage 2 - Formal complaint to Management
If unresolved at the Informal Stage, the complaint should be set out in writing and sent to the Manager. You will then receive a written request to attend a meeting with management to discuss the matter.
Stage 3 - Formal Complaint to Local Inspection Unit.
This stage is to be used if the outcome at Stage 2 is not satisfactory. A written complaint should be set out and sent to The Office for Standards in Education (OFSTED) Early years Directorate Alexandra House 33 Kingsway London WC2B 6SE.

11. VIOLENCE AT WORK
11.1 Violence against any “ASC” personnel will not be tolerated and will result in the loss of your child/ren’s place.
11.2 A working definition of violence at work is “any incident in which an employee is abused, threatened or assaulted by a member of the public, parent or child being cared for by “ASC” in circumstances arising out of the course of his or her employment.
11.3 Violence will be deemed to include physical force, verbal abuse with threats (with or without a weapon), rude gestures and innuendoes, sexual or racial harassment.
12. TERMINATION
12.1 This contract will last for a period of one year, effective from the child’s start date and will be reviewed every six months. However, during this period “ASC” reserve the absolute right to terminate the agreement with immediate effect, in the event that any of the clauses listed in these terms and conditions are broken.
12.2 Parents/guardians are required to give TWO WEEKS NOTICE should they wish to terminate the service.
